Custom Business Applications

Business applications built around how your team works

When client details, tasks and documents are spread across spreadsheets, inboxes and messages, it's hard to see who owns what and what's overdue. We build simple internal applications that bring that work into one place.

  • Written scope before build
  • Full code & data handover options
  • No VAT added (not VAT registered)

Where a business application helps

Bring everyday operational work into a clear, shared process.

Clients, cases and tasks

The problem

Information sits in spreadsheets, email threads and messages, so it's hard to check status or who is responsible.

What an application can do

Keep clients, cases and tasks in one place, with owners, statuses and due dates your team can see.

Business documents

The problem

The same details are retyped into one document after another, and versions and statuses are hard to keep track of.

What an application can do

Create documents from data you already hold and keep them organised in one place.

Quotes, approvals and job handoffs

The problem

Quotes, job sheets and sign-offs are passed around by email or chat, leaving gaps between sales, operations and invoicing.

What an application can do

Move a job from quote to approval, delivery and billing with clear status steps and role-based sign-off.

Equipment, assets and service logs

The problem

Tracking tools, vehicles, stock or scheduled checks in shared spreadsheets leads to overwritten cells and missed renewal dates.

What an application can do

Log equipment assignments, maintenance history, serial numbers and upcoming inspection dates in a structured database.

Every business works differently, so we start from your process, not from a template.

Tools we use ourselves

These are internal tools we built for our own work. They do not replace ready-made systems: we built them where no off-the-shelf product fit how we work. No client data is shown.

Internal client and task register

Used to manage B2B client records, service scopes, recurring agreements and operational tasks.

  • ✓Client directory with linked infrastructure notes and service history
  • ✓Task tracking with assigned owners, due dates and status filters
  • ✓Role-based access

Contract and document generator

Used to generate bilingual (EN/PL) service agreements, scopes of work and PDF appendices without manual retyping.

  • ✓Form-driven templates that fill in client details, pricing tiers and custom clauses
  • ✓PDF output with consistent formatting and version numbering
  • ✓Generated documents archived automatically to internal storage

How it works

A clear process from the first conversation through to ongoing maintenance.

1

Discovery

We map your current process, agree the scope and give you a written quote.

2

Build

We build the agreed features and test them with you against real-world scenarios.

3

Launch

The application goes live with user accounts, a short guide for your team and a handover of access.

4

Maintenance

Hosting, monitoring, updates, backups and agreed support for faults, on a monthly plan.

New features and integrations after launch are quoted separately, so the monthly plan stays predictable.

Security and maintenance

Controls and maintenance are agreed around the application and the way your team uses it.

  • ✓Sign-in for every user, with permissions based on their role
  • ✓HTTPS and agreed protection for stored data
  • ✓Backups set up for each application, with restore checks agreed in the maintenance plan
  • ✓Error monitoring and updates as part of maintenance
  • ✓A log of important actions where your process needs one

Deployment options

Managed hosting (via SmartOps IT)

Hosted and maintained by SmartOps IT. Deployed in an isolated Docker container, protected by HTTPS and firewall rules, with backups and uptime monitoring set up for each application. Hosting location is agreed per project.

Self-Hosted on Your Infrastructure

Deployed directly on your own Windows/Linux server, Proxmox/Hyper-V environment or private cloud, accessible only within your office network or via secure VPN (e.g. Tailscale/WireGuard).

Before launch we check that each role can see and change only the data it should.

When a custom app makes sense (and when it doesn't)

Use off-the-shelf software for:

Standard accounting and payroll (Xero, FreeAgent), standard online shops (Shopify, WooCommerce) or standard email/calendar (Microsoft 365). We never rebuild standard commodity tools from scratch—instead, we can integrate with them.

Build a custom internal app when:

Off-the-shelf systems force your team into workarounds, charge high per-user licence fees for features you don't use, or cannot handle your specific operational workflow, document templates or approval rules.

Power BI or a business application?

Power BI is usually the right choice for reports and dashboards on data you already have. A business application suits the processes your team works in every day — entering details, updating statuses and producing documents. Not sure which you need? We'll tell you after a short conversation.

Business Applications FAQ

What does a business application cost?

Pricing is split into a fixed-price build (agreed in writing after discovery, based on the exact screens, roles and integrations required) and an optional monthly maintenance plan for hosting, backups and updates. We are not VAT registered, so no VAT is added to our quotes. Our applications have no per-user licence fees.

Do you use AI to build applications?

Yes, we use AI-assisted development tools as part of our work. Every feature is reviewed and tested by us before it goes live.

What do we get at handover?

We agree this in writing before work starts. It can include the custom source code, setup documentation, an export of your data, a list of dependencies and the access you need, so another provider or your own team could take over maintenance if you choose.

What is included in the monthly maintenance plan?

Hosting, monitoring, updates, backups and the support for faults we agree in your plan. New features and integrations are quoted separately.

Can it connect to the tools we already use?

Often, yes, where those tools offer an API, for example Microsoft 365, Xero, Shopify, Stripe or HubSpot. We check this during discovery, before we quote.

Spending too much time chasing statuses and retyping data?

Tell us how the process works today and we'll suggest whether an application, an automation or a report is the better fit.
