An audit of your current environment is the foundation
You shouldn't move a mess into a new home. Before buying licences and clicking 'migrate', it's essential to accurately map what the company currently uses.
What do we look for?
We check how many mailboxes are actually in use (you often pay for ex-employees' accounts), how many gigabytes of data reside on local drives, and whether the business uses old shared mailboxes (e.g., info@, accounts@), which can be created completely for free in M365!

Choosing the right licence (Don't overpay)
Microsoft offers dozens of different licence variants (Business Basic, Standard, Premium, Enterprise). UK businesses are often persuaded to buy the most expensive packages, with features they ultimately never use.

Security by Design and UK GDPR principles
The cloud makes file sharing easier, but this carries the risk of data leaks. As a company operating in the United Kingdom, you are responsible to the ICO (Information Commissioner's Office) for complying with local UK GDPR regulations.
Before you invite employees to the new cloud:
- Enforce Multi-Factor Authentication (MFA) for absolutely every user. This blocks 99.9% of attacks involving password theft.
- Configure anti-phishing rules and DLP (Data Loss Prevention), which will block the ability to send documents containing sensitive data, such as credit card numbers or National Insurance Numbers, outside the company.
- Appropriately restrict access for individuals logging in from unusual and high-risk locations outside the UK territory (Conditional Access).
